Rillbill Integrated Service Limited ("Rillbill", "we", "our", or "us") builds and licenses EMS and HMS, and designs custom software for hospitals, schools, and other organisations. This Privacy Policy explains what information we collect across our public website, rillbill.com, and our client portal, app.rillbill.com, how we use it, and the choices you have

By using either site, you agree to the collection and use of information in accordance with this policy

This policy covers rillbill.com (our public marketing website) and app.rillbill.com (our client portal, where licensed clients manage their account, wallet, and active licences)

It does not cover our internal staff portal, which is used only by Rillbill employees to manage clients, products, and support, and is never accessed by the general public or by clients

Through rillbill.com, we collect information you voluntarily provide via our contact form, including your name, email address, phone number, and any message content you submit

Through app.rillbill.com, we collect the information needed to create and run your account: your organisation's name, a contact person's name, email, and phone number, records of licence purchases and renewals, wallet top-up and transaction history, and any support messages you send our staff through the portal's chat

We do not ourselves store your full card or bank account details; wallet top-ups are processed by our payment partners, Paystack and Flutterwave, under their own security standards and privacy policies

We may also collect limited technical information automatically on either site, such as browser type, device information, and general usage analytics, to help us understand how our services are used and improve them

Contact form submissions are used solely to respond to your enquiry and to communicate with you about EMS, HMS, or a custom project you've asked about

Client portal account information is used to provision and maintain your licence, process wallet funding and purchases, respond to support requests, and notify you about renewals or account activity

We do not sell, rent, or trade your personal information to third parties for marketing purposes

Our sites use a small amount of local storage to remember preferences such as your light/dark theme selection and to keep you signed in to the client portal; we do not use third-party advertising cookies

We implement reasonable technical and organisational measures designed to protect the information you share with us. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security

Our public website links to our code repository on GitHub and, in our portfolio section, to live websites we've built for client organisations. Our client portal relies on Paystack and Flutterwave to process wallet payments. We are not responsible for the privacy practices of any of these third parties

You may request access to, correction of, or deletion of any personal information you have submitted to us by contacting us using the details on our Contact page

We may update this Privacy Policy from time to time. The date at the top of this page reflects the most recent revision. Continued use of either site after changes constitutes acceptance of the updated policy
